The Vendor Purchases report shows your vendor invoice spend by vendor for any date range. It’s the simpler companion to Vendor Performance — no GP analysis, no return-rate scoring, just “how much went out the door to each vendor.”
Summary view
One row per vendor:
- Vendor name
- Last Invoice date
- Invoices — vendor invoice count in the range
- Subtotal — sum of line subtotals (Quantity × UnitPrice for non-stone lines, lot total for stones)
- Freight — sum of FreightCharge across the vendor’s invoices
- Total — Subtotal + Freight
Sorted by Total DESC.

Click any vendor name in Summary → Detail filtered to that vendor’s invoices. Removable Vendor pill in Detail; click × to see all vendors.

One row per vendor invoice:
- Invoice # — your internal vendor invoice ID (clickable, links to
/vendor-invoices/{id}) - Date
- Vendor (clickable, links to the contact page)
- Lines — count of detail lines on the invoice
- Subtotal, Freight, Total

Vendor Purchases vs Vendor Performance
When to use each:
- Vendor Purchases (this report) — pure spend totals. Faster to read. Right for “what did I spend with X this quarter?”
- Vendor Performance — adds Active SKUs, Units Sold, Revenue, GM %, Return rate. Right for “is this vendor profitable?”
If you only have a few vendors, Performance is almost always the right call. Purchases is most useful when you have many vendors and just want the spend ranking.
Tips
- Quarterly purchase order review — Summary, drill into each top vendor to verify the invoices are real and matched to received goods.
- Tax / 1099 prep — annual export by vendor gives you the totals you need for vendor-side tax reporting.
- The vendor name shown is the contact’s CompanyName when linked, or the legacy VendorName field on the invoice as a fallback. If a vendor shows twice, it usually means some invoices have a contact link and some don’t — clean up the contact records.
- The simpler Purchase Orders report (if you’re using POs) shows ordered-but-not-yet-received items.
- Vendor invoices that haven’t been entered yet (you have the invoice on your desk but it’s not in the system) won’t appear here. Enter them first.
