Adjust Quantities (Administrator Correction)

Administrators can correct an item's on-hand and on-memo counters, and a stone's carat weights, when they are wrong and no sale, memo or return can put them right. Every correction needs a reason and is recorded.

Adjust Quantities

Adjust quantities sets an item’s counters directly. It is on the item screen, next to the other actions, and only administrators see it.

Use it when a number is wrong and nothing in the normal flow can fix it. Most of the time you shouldn’t need it:

  • A counted difference belongs in Utilities → Quantity Reconciliation, which compares your count to the system and adjusts from there.
  • Bought more of a piece you already carry? Raise its Qty Purchased and choose Add to stock when you save. See Adding Inventory Items.
  • A piece that sold, went out on memo, came back or was scrapped should be recorded that way, so the history stays true.

Reach for this when the count agrees and the counter is still wrong, or when something left a counter behind that no document can clear.

What you can correct

ItemFields
Jewelry, watchesOn hand, Out on memo
Diamonds, colored stones, pearlsStones (or pearls) on hand, Carats on hand, Stones out on memo, Carats out on memo

Carats matter as much as the count. A parcel with the right number of stones and the wrong weight prices every later sale off it wrongly.

How it works

  1. Open the item and click Adjust quantities.
  2. Type the numbers as they should be. Each box shows what’s on file now.
  3. Say why. The reason is required and is stored with the change.
  4. Click Review change. You’ll see each change in words, such as “On hand 2 → 1”.
  5. Click Apply correction.

What it refuses

  • A number below zero.
  • A change with no reason, or a reason shorter than a few words.
  • A “change” to the numbers already on file.

What gets recorded

Your name, the date, the item, every field that moved with its before and after, and your reason, all in the audit log. Nothing about cost, price or sales history is touched.
