Payment Options on Invoices
Payment options are the ways a customer can pay an invoice, printed right on the invoice (PDF and emailed copy). Each one shows up as a small labeled QR code — or, for bank wire, a printed instructions block. You configure them per store, so each location can offer its own mix.
The four types
| Type | Prints as | How it’s recorded |
|---|---|---|
| Card (Stripe) | A QR + clickable Pay now link | Automatically. Each scan opens a secure Stripe checkout for the invoice’s current balance; the payment posts to the invoice on its own. |
| Payment link / QR (Venmo, PayPal, Cash App) | A QR generated from your payment URL | Manually — the money lands in your own account with no signal back to JewelTrak. |
| Uploaded QR image (Zelle) | The QR image you upload, printed as-is | Manually. Zelle has no shareable link, so you upload the QR from your banking/Zelle app once. |
| Bank wire | A labeled text block (no QR) | Manually. |
Only card (Stripe) payments are recorded for you. For Venmo, PayPal, Cash App, Zelle, and wire, the customer pays into your outside account — so you mark those invoices paid by hand. The invoice already shows the total and invoice number, so each option just needs a label.
Add a payment option
- Go to Settings → Stores → your store.
- Open the Payment Options tab.
- Click Add payment option.
- Pick a Payment type and give it a Label (the text printed under the QR, e.g. Pay by card, Venmo, Zelle, Bank wire).
- Fill in the type-specific field (see below) and click Save.
Options print in the order shown — use the ↑ / ↓ arrows to reorder. Toggle the Shown column to hide an option without deleting it, and use Edit / Delete to change or remove one. Nothing prints until at least one option is enabled.
Card (Stripe)
Prints a card-payment QR plus a clickable Pay now link. A customer can scan it from a phone or click it on a computer; either way it opens a secure Stripe checkout for the current balance and records the payment automatically.
- The store must be connected to Stripe first (Settings → Stores → your store → Stripe section → Connect Stripe). If it isn’t, the card option won’t print and the tab flags it in red.
- The QR points at a stable JewelTrak page that creates a fresh checkout on every scan — so it never expires, even on a printed invoice that’s weeks old. If the invoice is already paid, the page simply says so.
Payment link / QR (Venmo, PayPal, Cash App)
Enter your payment URL and JewelTrak builds a QR from it. You can drop in two placeholders that get filled in per invoice:
{amount}— the outstanding balance{invoice}— the invoice number
For example: https://paypal.me/yourname/{amount}. Amount pre-fill is reliable for PayPal and Cash App and hit-or-miss for Venmo — when it doesn’t pre-fill, the customer just types the total shown on the invoice.
Uploaded QR image (Zelle)
Zelle doesn’t offer a shareable link, so upload the QR straight from your bank or Zelle app:
- In your banking/Zelle app, find your receive money QR and save it as an image.
- In the editor, choose Uploaded QR image, label it (e.g. Zelle), and upload the file (PNG, JPG, or WebP, under 2 MB).
The image prints as-is. It’s scan-only — the customer scans it in their banking app, then enters the total and invoice number from the invoice. When editing later, leave the file blank to keep the current image.
Bank wire
Choose Bank wire / printed instructions and paste exactly what your bank gave you — it prints as a labeled block with no QR (US wires have no QR standard). For example:
Beneficiary: Acme Jewelers LLC
Bank: First National Bank
Routing (ABA): 123456789
Account: 000111222
SWIFT/BIC (intl): FNBKUS33 See also
