Moving Stock Between Stores

If you run more than one location, you’ll need to move merchandise between them. JewelTrak does this as a bulk reassignment: you pick the pieces, pick where they’re going, and they’re there.

How to do it

1. Open any inventory list — Jewelry, Watches, Diamonds, Colored Stones or Pearls.
2. Tick the pieces you want to move. (Selection survives paging and searching, so you can gather items from several searches before you move them.)
3. In the Actions ▾ bar, choose Move to store.
4. Pick the destination store. JewelTrak immediately tells you how many pieces will actually move.
5. Press Move.

It knows where the pieces are now

When you open Move to store, JewelTrak first checks where everything you’ve selected actually sits — it doesn’t guess from the rows on screen, because your selection can span several pages and searches.

• All in one store? It says so (“Currently at Main Street”), and that store is left out of the destination list — moving them there would do nothing, so it isn’t offered.
• Spread across several stores? It lists them with counts, and every store stays available, because consolidating a mixed set into one location is a normal thing to do. Pieces already at the destination are simply skipped.
• Only one store in the whole shop? It tells you there’s nowhere else to move them to.

What it tells you before you commit

Choosing a store runs a check first, so the confirmation is specific rather than hopeful. You’ll see a count of what will move, and a line for anything being skipped:

• already at that store — nothing to do
• returned or scrapped — the piece has left inventory, so it has no store to be in
• not found — the record is gone

Skipped pieces never block the rest. The ones that can move, move.

What it changes, and what it doesn’t

It changes the store on each piece — both the store it belongs to and the store name shown on lists and documents.

It leaves the stock location alone. Locations (case numbers, safes, trays) are a shop-wide list rather than a per-store one, so “Case 3” means the same thing at either address. Clearing it would throw away information you’d have to retype, so JewelTrak keeps it. If a piece needs a different location at its new store, change it on the piece.

Nothing about the piece’s money changes — cost, price, vendor, partnership and memo status are all untouched. This moves where a piece is, nothing else.

Who can do it

Moving stock is an edit of that kind of inventory, so it uses the same permission as editing the piece itself — Jewelry (Inventory) → Edit for jewelry, Watches → Edit for watches, and so on. If you can’t edit a family, Move to store doesn’t appear on that list. Selecting a mix of families requires the edit permission for each one.

It’s in the item’s history

Every move writes to the item’s audit history: where it came from, where it went, who moved it, and when. Open the piece and check its history to see the trail.
