Start a transaction from a contact
Every customer has an action button — on the Contacts list and on the customer’s own page. It opens a small window listing everything you can raise for them:
Invoice · Memo · Memo Return · Appraisal · Work Order · Gift Card · Invoice/Return Memo Items
Pick one and press the button at the bottom. JewelTrak opens that document’s normal New form with the customer already selected.
What “already selected” fills in
Exactly what you would get by opening the New form yourself and picking the customer — it is the same step, done for you:
- Bill-to name, address and phone, from the contact record.
- The store: the customer’s own store when they have one, otherwise your store.
- That store’s settings — sales tax rate and surtax, payment terms, sales outlet, shipping carrier and card-fee setting.
- Order type and tax on an invoice: a retail customer opens Retail and taxable, a wholesale customer opens Wholesale and not taxable. On a work order the customer’s own taxable setting is used.
Everything is editable before you save — the defaults are a starting point, not a decision.
Nothing is saved until you save it
The action button does not create the document. You get a form; the record exists only once you press Save (or Save & Add Item). Change your mind and you can leave or Discard — same as any other new document, and no empty invoice is left behind.
Invoice / Return Memo Items
The last choice is different: it lists everything the customer currently has out on memo, with a tick beside each line.
Tick what they kept and press Invoice, or tick what they brought back and press Return. JewelTrak takes you to their memo-items screen with those lines selected, where you choose whether the goods go onto a new invoice or an existing open one before anything is written.
Gift Card
A gift card needs a card number and an amount before it means anything, so this one opens the Gift Cards page with its issue form open and the customer filled in.
Tips
- The window always opens on Invoice — the most common case — so raising a sale is: action button → button.
- If the customer’s details are wrong on the form, fix them on the contact record rather than only on the document, or the next transaction repeats the mistake.
- On a phone or tablet the same action button is there; the form that opens is the touch-friendly one.
