QR client check-in

Print a QR code for your counter — walk-ins scan it, type their own details on their phone, and land in your customer list automatically.

QR client check-in

Client check-in lets a walk-in add their own details from their phone. You print a QR code, they scan it, fill in a short form, and they land in your customer list — no clerk typing, no keyboard at the counter.

It’s a fast way to capture new customers during a busy day. Think of it as a self-service version of Scan a business card and Scan a driver’s license or ID.

Turn it on

Check-in is off by default. To enable it (you’ll need admin access):

  1. Go to Settings → Organization and scroll to the Client Check-In card.
  2. Tick Enable public check-in and click Save.

Until it’s enabled, the QR code won’t accept submissions — anyone who scans it sees “Check-in isn’t available right now.”

Put the QR where customers can see it

On the same card:

  • Print sign opens a ready-to-print page — your shop name, “Scan to check in,” the QR, and simple instructions. Print it and set it on your counter or by the door.
  • Download QR saves just the QR image if you’d rather design your own signage.

The QR doesn’t change, so you only print it once. Customers scan it with their phone camera — no app needed, it opens in their browser.

What the customer sees

A short, branded form (your logo and shop name) asking for name, phone, email, and address. When they submit, they get a “You’re checked in” confirmation telling them a team member will be right with them.

What happens on your side

Each submission creates a new customer contact — or, if the phone or email already matches someone on file, it updates that existing contact and only fills in blanks (it never overwrites what you already have). New walk-ins simply appear in your Contacts list.

A few things to know:

  • It’s protected against junk: spam-bot submissions are dropped, and there’s a rate limit so the form can’t be hammered.
  • This is intake only — it adds the customer to your list. It does not notify the front desk that someone arrived or start a queue. The confirmation screen tells the customer to see a team member, so greet them as usual.

Turning it off

Untick Enable public check-in and Save. Any printed QR codes immediately stop accepting submissions — no need to take down the sign right away.
