Legacy Archive

A read-only copy of your records from the old system, so you can still look up an old invoice, customer, memo or item after the old site is shut down. Available to your shop's administrators.

Legacy Archive is a frozen, read-only copy of your records from the old system. Use it to look something up the way it was recorded there, after the old site is gone.

Only your shop’s administrators can see it.

Where to find it

  • Tools, then Legacy Archive opens the archive. Pick a record type along the top, then search.
  • The Legacy tab on a JewelTrak record shows that same record as the old system had it. It appears on invoices, memos, memo returns, contacts, jewelry, stones and watches. Appraisals and vendor invoices show a collapsed Legacy panel instead. Work orders have neither; look up an old repair or custom job in Tools, then Legacy Archive.

If a record was created in JewelTrak after you moved over, its Legacy tab says there is no legacy record. That is expected.

What’s in it

Customers, invoices, payments, memos, memo returns, appraisals, repairs, custom jobs, jewelry, stones, watches, partnerships and partners, vendors, and vendor invoices.

Records link to each other the way they did in the old system: a customer’s invoices, an invoice’s payments, an item’s history and partnership.

Things to know

  • Nothing here can be changed, and nothing you do here changes JewelTrak. Every archive page says so at the top, with the date the copy was taken.
  • It shows the old system’s own numbers. Totals, balances and partnership figures are exactly what the old system stored, even where JewelTrak calculates them differently.
  • Customer numbers are different. Customers were renumbered when they moved into JewelTrak. Invoice, memo and stock numbers kept their old numbers.
  • It is temporary. The archive stays available while you settle in, and is removed once you no longer need it.
