A parcel is a bulk lot of small stones — melee diamonds or colored-stone goods — managed by total carat weight rather than as individual stones. Instead of one record per stone, a parcel is a single record that tracks how many carats (and roughly how many stones) you have on hand, grouped by shape, size, and a color/clarity range.
Parcels live in their own Parcels section (under Stones in the menu) and are kept out of the Diamonds, Colored Stones, and Pearls lists so those stay focused on individually-tracked stones.
Parcels are for bulk goods tracked by weight. Larger, individually-significant stones — each with its own cert and price — should be entered as individual loose stones in Diamonds / Colored Stones (optionally tagged with a Parcel # for provenance), not as a parcel.
Creating a parcel
- Go to Parcels → + New Parcel.
- Choose the Type (Diamond or Colored Stone) — this sets which color list you pick from — and tick Lab-grown if applicable.
- Fill in the grouping details:
- Shape (e.g. Round)
- Size — an mm range (From/To) and/or a sieve designation
- Color range and Clarity range — a From and To value (e.g. G–H, VS–SI)
- Enter the total carat weight (required) and, optionally, the number of stones.
- Enter Cost / ct and Sell / ct. The parcel’s value is calculated as total carat weight × the per-carat price.
- Add vendor, purchase, and location details, then Save.
When a parcel is first created, its remaining weight equals the original weight. As you pull or sell stones, the remaining weight goes down while the original stays for reference.
Depleting a parcel
A parcel’s remaining weight goes down in three ways:
- Selling on an invoice — on an invoice, add a line with the Parcel line type, pick the parcel, and enter the carats sold. The price defaults to the parcel’s sell/ct × carats (editable). A stone count is optional — enter it only if you want to also reduce the piece count. Saving deducts the carats (and count, if given) from the parcel automatically; voiding the invoice restores them.
- Using it in a manufactured piece — on a jewelry item’s detail page, in Set Stones, click Use from Parcel, pick the parcel, and enter the carats (and optional stone count) being set into the piece. The carats are deducted from the parcel and the cost (cost/ct × carats) rolls into the piece’s cost. (Whole, individually-tracked stones use Combine Loose Stone instead — parcels are kept out of that picker.)
- Adjust remaining — record shrinkage, loss, or a correction; this reduces the balance and logs an adjustment.
The list shows Ct Left / original so you can see depletion at a glance, and the availability filter lets you show only in-stock or fully-depleted parcels.
Printing a parcel label
Open a parcel and click Print Parcel Label to print a label (shape, size, color/clarity range, total carats, per-carat price, parcel number, and a scannable barcode) on your roll/die-cut label printer. This uses the same label printer you set in Settings → My Settings → Tag & Label Printing — see Printing Barcode Tags for printer setup.
